Install & connect Zoom

Install from the marketplace on the sub-accounts you want, then open Zoom in the sub-account’s left menu and click Connect Zoom for each location.

Connecting opens Zoom in a new tab — that’s normal (Zoom, like Google, refuses to load its sign-in inside another app). Approve there, close the tab, come back and refresh: the location shows connected, plus an honest note about what your Zoom plan unlocks.

Use the actions in any workflow

In the workflow builder, our actions appear alongside the native ones:

  1. Create Zoom Meeting / Create Zoom Webinar — outputs the meeting ID, join URL and start URL as workflow variables, ready to drop into any SMS or email step.
  2. Add Meeting / Webinar Registrant — registers the workflow’s contact and outputs their personal join link. Each contact gets their own — that’s what makes per-person attendance tracking possible.
  3. Get Meeting / Webinar Details — pull topic, time and links for an existing event.

Typical recipe: form submitted → Add Webinar Registrant → SMS the contact their personal join link → done. No Zapier, no CSV uploads.

React to attendance — the magic

After a meeting or webinar ends, we fetch who actually joined (and for how long) and fire per-contact triggers:

  1. Webinar / Meeting Attended — fires for each registrant who joined, with their watch duration.
  2. Webinar / Meeting No-Show — fires for each registrant who never joined.
  3. Recording / Transcript Ready — fires when Zoom finishes processing, with the share link.

The follow-up machine: one workflow on “Attended” sends the pitch + recording; another on “No-Show” sends “sorry we missed you” + the replay + a rebook link. Set it once — every event after that follows up by itself.

⚠️

Triggers fire a few minutes after the event ends — Zoom needs a moment to finalize its attendance data. That’s Zoom-side processing, not a delay you can configure away.

We’re upfront about this because Zoom gates its own data by plan — and the app tells you the same thing on its Zoom page after you connect:

One more honest note: HighLevel itself charges a small platform fee for any marketplace app’s workflow actions and triggers (“Premium Actions” — 100 free executions, then $0.01 each, or included in Workflow AI plans). That fee goes to HighLevel, not us, and applies to every marketplace workflow app equally — we just prefer you hear it from us first.

Security

The app reads contacts (to register them with Zoom) and can write their join link and attendance status back to the contact record. Zoom access is per-location OAuth you can revoke any time — from the app’s Zoom page or from your Zoom account’s app management. Every webhook from Zoom is signature-verified.

FAQ

How is this different from the other Zoom apps?

Other integrations create meetings. None of them can tell your workflows who attended and who didn’t — their Zoom permissions literally don’t include attendance data. Ours were designed around it: personal join links per contact, deterministic matching (no email guessing), and per-contact Attended/No-Show triggers. That’s the whole reason we built this.

What counts as a no-show?

A contact your workflow registered who never joined the meeting/webinar before it ended. Anyone who joined for any length of time counts as attended (their watch duration is included in the trigger, so you can filter “attended under 10 minutes” in your workflow if you want stricter rules).

My contact registered but Zoom rejected it

Zoom requires an email on every registrant — contacts without an email can’t be registered (the action returns a clear error your workflow can branch on). Also note Zoom limits the same person to 3 registrations per day per event.

Can different locations use different Zoom accounts?

Yes — that’s the design. Each location connects its own Zoom account on the app’s Zoom page. An agency running 10 client locations connects 10 client Zoom accounts.

The trigger didn’t fire

Check three things: (1) the event actually ended (triggers fire minutes after the end, not at the scheduled time); (2) the contact was registered through the workflow action — that’s how we know who to track; (3) your Zoom plan provides attendance data (see the plan table above). How do I disconnect or delete my data?

Uninstalling from the CRM revokes our access immediately; you can also remove the app from your Zoom account’s App Marketplace page. Reply “delete my data” from your account email and we hard-delete your rows within 48h and confirm.
